Major responsibilities

  • Proactively ensure that the office of the Head of HR is run effectively on a day to day basis
  • Proactively managing a high volume e-mail box, ensuring that responses are provided in a timely manner
  • Provides discreet administrative support such as calendar management, answering client calls, making travel arrangements and coordinating/scheduling meetings in a highly confidential environment.
  • Departmental expense management, attendance administration, HR Administration back-up and support, filing and organization – looking for opportunities to improve processes and create efficiencies.
  • Proactively manage a variety of regional and global requests by collating confidential information and providing summary analysis and observations to management as required.
  • Advanced use of Microsoft Office to create, update or maintain documents, templates, reports, charts and presentations as necessary.
  • Professionally interact with internal and external clients at all levels to answer queries and proactively respond to requests.
  • Complete one off projects as assigned in alignment with the priorities of the business.

 

Minimum qualifications

  • Bachelor’s degree in business, Finance or related HR discipline or equivalent experience.
  • Minimum of 7 years’ administrative experience with at least 4 years supporting Executive level roles.
  • Advanced knowledge of Microsoft Office in particular Word, PowerPoint and Excel and an understanding of database management.
  • Excellent written and oral communication skills
  • Excellent organizational skills with the ability to work in a fast paced environment
  • Ability to handle highly sensitive and confidential information with discretion.
  • Dependable, customer focused, with the ability to build trust-based relationships and work well within teams.
