Under the supervision of the Permanent Secretary, the incumbent provides efficient and effective secretarial and administrative support to ensure the smooth operations of the Executive Office.
 

KEY RESPONSIBILITY AREAS INCLUDE:

  • Composes letters/memoranda from general instructions;
  • Responds to routine and other correspondence as directed;
  • Takes dictation and reproduces notes in an accurate and presentable manner;
  • Researches and compiles information as requested;
  • Arranges for the printing, photocopying, binding, dispatching, etc. of documents produced;
  • Organizes meetings being hosted by the Executive Office;
  • Takes minutes at meetings and reproduces and distributes information in accordance with established guidelines;
  • Maintains schedules of routine and special appointments for the Executive Office advising of matters requiring prompt attention;
  • Maintains an effective filing system that allows security and speedy retrieval of documents/information in accordance with established standards.

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

  • Four (4) CXC subjects including English Language
  • Diploma from an accredited Secretarial Institution
  • Certificate in Administrative Management (CAM) Level 4 – MIND
  • At least five (5) years’ experience in a similar capacity
