Job Summary

This position reports to Executive Assistant, Legal and Corporate Administration and is responsible for a broad range of secretarial and administrative services to the Group Legal Department.

Job Description

Your responsibilities will include:

  • managing and organising the activities of the Attorneys 
  • organising and maintaining legal files and creating binders 
  • handling confidential records and information 
  • preparing memoranda and other documents for business meetings, preparing for board meetings, scheduling appointments, arranging presentations, arranging travel and calendar management 
  • assisting with administering legal agreements, memoranda and opinions and transcribing dictation 
  • filing and tracking correspondence on the document management system and tracking team attendance 
  • assisting with financial administration for the Legal team including processing and tracking departmental invoices, tracking revenue stamps, performing monthly accruals and preparing expense reports 
  • arranging for certification of constitutional documents of Parent Company 


Your experience/skills may include:

  • a high school diploma with five years’ administrative experience; experience working in a legal environment an asset 
  • a legal secretarial qualification an asset 
  • Corporate Procedures I and II an asset 
  • excellent organisational and interpersonal skills with ability to work independently or as part of a team 
  • demonstrated ability working in a fast-paced and demanding environment, supporting multiple people and administering several tasks 
  • highly confidential with the ability to exercise discretion in all matters 
  • excellent communication (oral and written) 
  • good knowledge in Microsoft Office suite of applications, specifically Word, Excel 
  • and PowerPoint 
  • willingness and flexibility to work extended hours, weekends and public holidays as required is essential
