Reporting to the Manager of the Department assigned the incumbent is responsible for the production of minutes of departmental meetings, typing of routine internal and/or external correspondence & the maintenance of filing systems for the department.
 

Qualification

  • Diploma in Secretarial Studies;
  • At least 5 G.C.E. O’Levels including English Language;
  • At least one (1) years’ experience as a Secretary;
  • Knowledge of Microsoft Office.

  • Ability to communicate effectively at all levels;
  • Strong organizational skills with the ability to manage multiple tasks;
  • An aptitude to follow written and oral instructions;
  • Ability to carry out tasks without constant supervision;
  • Maintain simple logs and records;
  • Have good hearing, good reflexes and good eyesight.

 

Responsibilities

  • Maintain the filing for the assigned department to ensure that filing is kept current;
  • Attending meetings as required and taking and reproducing minutes of those meetings;
  • Make photocopies of documents, reports etc. as and when required;
  • Preparation of reports and correspondences in the required formats and standards.
