To maintain, manage and report on the supplies and operations of the Department’s Stores; safeguard and effectively manage all incoming and outgoing items from the Stores Unit.

 

KEY OUTPUTS

  • All incoming and outgoing stock accurately recorded; 
  • Database and Bin cards updated; 
  • Stock level checked and reported; 
  • High valued items checked and issued; 
  • Quality of goods checked; 
  • Requisitions filled and goods dispatched; 
  • Delivery slips checked and signed. 

 

KEY RESPONSIBILITY AREAS

Technical and Professional Duties: 

  • Maintains computerized database of supplies, materials and other items at optimum level; 
  • Advises the Supervisor, Stores on the type, quality and quantity of materials required; 
  • Receives goods supplied, checks the quantities received, signs and dates delivery slips; 
  • Records and updates system with in-coming and out-going stock;
  • Updates bin cards with in-coming and out-going stock; 
  • Packs items received on shelves and in other storage areas; 
  • Prepares and dispatches items/stock for delivery, signs and dates requisitions;
  • Loads and unloads vehicle transporting items/stock; 
  • Accompanies the driver to deliver requested items/stock and ensures the receiving officer signs dispatch/log book;
  • Receives High Valued items, checks the quality and quantity received;
  • Seals High Valued items in security tape and stores in sequential order;
  • Issues High Valued items in sequential order to ensure they can be easily tracked;
  • Conducts periodic checks in stores, verifies balances and reports to Supervisor; 
  • Ensures that the security of Stores is not compromised by the entry of unauthorised personnel or other breaches of the rules applying to the operation of Stores; 
  • Reports any breaches within the Stores unit to the Supervisor, Stores; 
  • Reports to the Supervisor, Stores cases of undue delays in the delivery of goods and services; 
  • Supports the identification and management of risks within the organization and by extension the respective area of work; 
  • Performs any other related duties that may be assigned by the Supervisor, Stores. 

 

PERFORMANCE STANDARDS

This job is satisfactorily performed when: 

  • Incoming and outgoing Stock is accurately recorded within established timeframe; 
  • Bin cards are correctly updated according to agreed standards; 
  • Items/Stock are stored in the prescribed manner; 
  • Stock level is checked and reported within the stipulated timeframe;
  • High valued items issued accurately and within the specified time frame;
  • Quality of goods/High value items is checked upon receipt; 
  • Requisitions are filled and goods dispatched within the specified timeframe;
  • Delivery slips are checked, signed and dated immediately. 

 

AUTHORITY TO:

  • Report breaches of Stores; 
  • Receive and sign for in-coming goods;

 

REQUIRED COMPETENCIES

Specific Knowledge 

  • Basic knowledge of computerised management information systems and relevant computer application; 
  • Working knowledge of supplies management; 
  • Familiar with the Financial Administration and Audit (FAA) Act. 

Required Skills and Specialised Techniques 

  • Good communication skills; 
  • Good time management skill; 
  • Good customer service skill; 
  • Basic analytical skill; 
  • Keen attention to details. 

Qualification and Experience 

  • Associate Degree in Business Administration or equivalent; 
  • Certificate in Supplies Management Level 1; 
  • One (1) year work experience.

 

WORKING CONDITIONS

  • Normal Office environment; 
  • Exposure to hazardous conditions (heat and excessive lifting and bending);
  • May be required to work extended hours.
