The inventory officer identifies, records, and tracks all government furniture and equipment, maintains the master inventory, coordinates asset repairs and surveys, and ensures proper asset usage across the ministry.

 

JOB PURPOSE

Under the direct supervision of the Director, Office Management & General Supplies (GMG/SEG 2), the Inventory Officer (PIDG/RIM 3) is responsible to maintain proper inventory records of all the Ministry’s furniture, equipment and assets.  The officer is also responsible for identifying and recommending equipment, furniture and assets that should be board of survey to the relevant authorities.

KEY RESPONSIBILITIES AREAS

Technical/Professional Responsibilities

  • Identifies, records and ensures that all government furniture, equipment and other assets are inventoried
  • Maintains and secures all inventory records in the Ministry
  • Monitors location of all furniture, equipment and government assets
  • Develops and maintains Master Inventory of furniture, equipment and assets of the Ministry
  • Identifies and recommends all repairs and board of survey to the relevant authorities
  • Installs and maintains all location records within the Ministry 
  • Updates Master Inventory records electronically and manually
  • Liaises with members of staff to ensure proper usage of government furniture, equipment and assets
  • Prepares report on all equipment and furniture that are to be repaired and board of surveyed 

Other Responsibilities

  • Performs other related duties assigned by the Office Manager and Manager, Facilities and Property as requested

 

PERFORMANCE STANDARDS

  • Inventory Records maintained quarterly or within the specified time frame
  • Furniture, Equipment and other assets inventoried and identification marks installed upon receipt of goods
  • Location records installed and maintained within the agreed time frame
  • Reports are produced within specified time frame
  • Information documented and disseminated within the specified time frame
  • Furniture, Equipment and Assets are repaired or board of survey within the specified time frame
  • Master Inventory Records recorded manually and electronically within the specified time frame

EDUCATION AND EXPERIENCE REQUIRED

  • Certificate in Inventory/Supplies Management (would be an asset)
  • Successfully completed five (5) subjects in CXC/GCE O’ Level inclusive of Mathematics/Accounts and English Language 
  • Three (3) years work related experience

 

SPECIAL CONDITIONS ASSOCIATED WITH JOB

  • Exposure to dust, harmful chemicals
