A private, client-focused wellness center in The Bahamas is seeking a highly organized and poised Wellness Operations Coordinator to join our multidisciplinary team. This contract role with commission is ideal for a seasoned professional who thrives in a luxury service environment, ensuring every client experience is seamless from arrival to departure.

The ideal candidate is discreet, detail-oriented, and proactive. Must be able to anticipate needs, solve problems, and maintain the refined ambiance our clients expect. You will be the first point of contact for guests, manage appointments and administrative processes, and provide operational support that keeps our clinic running to the highest standards.  A strong sense of urgency in rebooking and filling the schedule is essential to success in this role.

 

KEY RESPONSIBILITIES

Client Experience & Engagement

  • Welcome clients warmly with professionalism and discretion.
  • Maintain strict confidentiality at all times.
  • Proactively follow up with clients after each visit to rebook their next appointment.
  • Manage client feedback and follow up to ensure satisfaction.
  • Appointment & Administrative Management
  • Schedule, confirm, and adjust client appointments using the booking system.
  • Proactively reach out to clients to fill open appointment slots and prevent schedule gaps.
  • Maintain rebooking targets to ensure consistent client retention.
  • Keep client records accurate and compliant with privacy regulations.
  • Handle calls, emails, and billing inquiries with precision.

Operational Support

  • Coordinate with therapists to ensure smooth daily operations.
  • Maintain inventory of office and therapy supplies.
  • Keep reception and therapy areas immaculate and fully stocked.

Marketing & Brand Support

  • Provide photos and videos for marketing purposes in line with brand guidelines.

Financial Transactions

  • Process payments, reconcile daily transactions, and maintain accurate records.
     

REQUIRED QUALIFICATIONS

  • Proven experience in a customer-facing, luxury service role, preferably in wellness, hospitality, or healthcare.
  • Excellent communication, organizational, and client care skills.
  • Proficiency in Microsoft Office and appointment booking systems.
  • Ability to manage multiple tasks with composure and attention to detail.
  • Flexible schedule, including evenings and weekends as required by the clinic’s operating schedule.
  • Impeccable grooming and presentation.
  • Familiarity with content creation and online engagement for business promotion
