The incumbent oversees all crew administrative operations, including travel, documentation, immigration, and berthing, while ensuring efficient hotel system use, crew list accuracy, staff training, and compliance with policies and service standards.

 

Key Responsibilities

As Crew Manager, you'll play a key role in ensuring smooth operations in the Crew Office, providing exceptional service to our onboard team members while supporting their needs and well-being. Teammate Administration:

  • Oversee the seamless operation of all administrative services for crew members, ensuring timely travel arrangements and accurate documentation.
  • Manage pre-arrival, arrival, and departure paperwork, immigration documentation, and communication with relevant authorities.
  • Resolve any teammate-related issues promptly and maintain clear communication with onboard and shore-side personnel.
  • Ensure berthing modules are managed efficiently, optimizing space and maintaining accuracy in crew management systems.

 

Hotel Operational Efficiency:

  • Ensure Crew Office staff adhere to service standards and utilize hotel systems effectively to maintain accurate teammate information.
  • Regularly assess Crew Office performance and ensure optimal staffing levels to meet operational needs.
  • Accurately manage crew lists, including updates to the ERP system, and ensure compliance with policies.
  • Lead staff meetings and provide ongoing training to ensure Crew Office staff are up to date with policies and procedures.

 

Teammate Satisfaction:

  • Provide empathetic support to teammates, promptly addressing complaints or concerns and ensuring a satisfactory resolution.
  • Promote the onboard CRUISE program, reinforcing shared purpose and core values across the Crew Office.
  • Deliver regular service and product knowledge training to Crew Office staff to enhance the overall teammate experience.

 

Staff Development and Management:

  • Set clear expectations and role descriptions for Crew Office team members.
  • Conduct fair and objective performance appraisals and provide guidance for career development.
  • Ensure that team members attend required training sessions and remain up to date on products and services.
  • Foster a collaborative environment and maintain a high level of teamwork across the department.

 

Safety and Compliance:

  • Ensure compliance with all internal and external regulations, including HESS MS, public health standards, and safety policies.
  • Address any audit findings and maintain accurate documentation for teammate health and safety.
  • Assist in emergency procedures and ensure the safekeeping of all teammate documents in compliance with company policy.

 

Skills, Knowledge & Expertise

  • Bachelor’s degree in hospitality management, business administration, tourism, or a related field (preferred but not always required).
  • Minimum of 3–5 years of experience in a similar role within the cruise industry, preferably in a leadership or management capacity.
  • Experience in crew management or overseeing a large team of staff in a customer service-oriented environment.
  • Proven background in guest services, human resources, or operational management on board a cruise ship.
  • Leadership and team management: Ability to manage, motivate, and develop a diverse team of crew members from various backgrounds.
  • Excellent communication skills (verbal and written) in English (proficiency in other languages is a plus).
  • Problem-solving skills and the ability to handle stressful situations, including crew disputes, escalated guest issues, or operational challenges.
  • Strong organizational skills for managing schedules, crew performance, and other operational tasks.
  • Cultural sensitivity: Understanding and respecting cultural differences among the crew members.
  • Operational knowledge: Familiarity with the cruise ship's internal processes, safety regulations, and service standards.
  • Strong interpersonal skills to interact with crew members and senior management.
  • Ability to remain calm under pressure and handle various situations that may arise on board.
  • Attention to detail to ensure smooth operations and adherence to regulations.
  • Commitment to providing exceptional guest service and ensuring crew members follow the same standards.
  • Adaptability and flexibility to adjust to the unique environment and demands of working at sea.
  • Willingness to work onboard a cruise ship for extended periods (usually up to 6 months).
  • Ability to work in a multicultural environment, handling crew from various countries.
