The incumbent provides administrative support to the IT Department, manages procurement and asset processes, maintains documentation, supports audits, coordinates meetings/events, and assists with strategic planning and reporting.

 

CORE FUNCTIONS:

  • Provide general administrative support to the IT Department, including managing procurement processes (vendor communication, order tracking, invoice and budget reconciliation), assisting in the IT asset lifecycle management process (acquisition, inventory, deployment/assignment, disposal), and maintaining departmental documentation (policies, project plans, incident register).
  • Assist with content creation for IT intranet pages, end-user documentation, and digital displays; track and analyse staff leave records, generating monthly reports for leadership. Coordinate logistics for meetings, training, and events (scheduling, calendars, virtual setups).
  • Support the IT Department’s risk management processes by collating documentation for audits/security reviews, tracking deadlines, liaising with assessors, maintaining audit evidence repositories, and reporting on remediation of audit findings.
  • Assist the IT Manager with confidential tasks, including drafting communications, preparing briefing materials, tracking project milestones, and coordinating the management of, and reporting on, the execution of departmental and strategic plan objectives.

 

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Bachelor’s Degree in Management or Business Administration or equivalent from a recognised tertiary institution plus six years related experience.
  • Intermediate to advanced proficiency with Microsoft Office products (Microsoft Outlook, Word, Excel, PowerPoint, Visio, Project), Adobe Cloud, and other common business applications, including managing calendars and schedules.
  • Intermediate design skills, with the ability to manipulate templates within various design tools to produce aesthetically pleasing graphic content.
  • Highly organised and able to prioritise under pressure.
  • Strong initiative, acute attention to detail, and ability to prioritise workloads and multitask effectively.
  • Strong written and verbal communication skills.
  • Must be able to deal with highly confidential and sensitive information.
  • Excellent public relations and customer service skills.
  • Experience using video editing software and apps (e.g., Adobe Premiere Pro, Final Cut Pro, etc.) are a plus.
  • Basic project management and incident management skills are a plus.
  • Experience with scheduling activities and procurements would be an asset.
