The incumbent supports the law revision process by proofreading, organizing, scanning, and tracking updated statutory and subsidiary legislation documents while maintaining accurate records to ensure the integrity of legal publications.

 

Job Purpose

Under the direction of the Technical Assistant to the Law Revision Commissioners (Director, Law Revision Secretariat) or his/her designate, the Proofreading Assistant will provide aid to senior team-members with the ongoing task of proofreading the new pages generated (digitally) to enable the continual updating of the official (loose-leaf) pages of the Revised Laws of Jamaica, for both Statutes and Subsidiary Legislation. 

 

Key Outputs:

  • Revised Statutes pages proofread and verified. 
  • Revised Subsidiary Legislation pages proofread and verified. 
  • Supplemental Law Revision documents reviewed and verified. 
  • Proofreading sessions attended and supported. 
  • Proofread documents retrieved, organized and prepared for processing. 
  • Proofread pages scanned, indexed and securely stored. 
  • Proofreading records and tracking logs maintained and updated. 
  • Administrative and operational support provided to the Law Revision process. 

 

Key Responsibility Areas:

  • Assist with the proofreading of computerized new/updated pages of the Revised Statutes;
  • Assist with the proofreading of computerized new/updated pages of the Revised Subsidiary Legislation;
  • Assist with the proofreading of computerized pages of other documents attendant to the Law Revision process (i.e. Supplemental documents); 
  • Assist with the retrieval, review and organization of proofread pages; 
  • Assist with the scanning and secure storage of the proofread pages; 
  • Assist with the maintaining of pertinent records and/or tracking documents related to proofreading activities; 
  • Assist with any other activities necessary to aid in and/or track the progression of the proofreading component, and the wider Law Revision process. 
  • Performs all other duties and functions as may be required from time to time. 

 

Performance Standards:

  • Proofreading assignments completed with at least 95% accuracy. 
  • Errors, inconsistencies and formatting issues identified and reported accurately.
  • Attendance at scheduled proofreading sessions maintained at 95% or above. 
  • Documents retrieved, organized and prepared in accordance with established procedures.
  • Scanned documents stored and secured with 100% compliance to record management protocols.
  • Tracking records maintained accurately and updated within established timelines.
  • Assigned tasks completed within agreed timeframes at least 90% of the time. 
  • Confidentiality, integrity and professionalism displayed in the delivery of duties and interaction with staff.

Minimum Required Education and Experience

Qualifications and Experience 

  • An Associate Degree in Paralegal Studies, Business Administration, Administrative Management, Language Arts, Education, Media and Communication or a related field in the Social Sciences or Humanities from a recognised post-secondary educational/training institution. 
  • At least two (2) years related work experience (i.e., in publishing/editorial, records/information management, or administrative work).

Specific Conditions associated with the job

  • Work will be conducted in an office outfitted with standard office equipment and specialized software
  • Substantial periods spent conducting detailed reading and/or reviewing of documents to identify possible errors, inconsistencies, etc.; 
  • Group-oriented tasks surrounding the proofreading, reviewing and/or preparation of documents;
  • Substantial periods reading/reviewing digital content on computer screens, etc.;
  • Occasional lifting of light to moderately-heavy stacks of paper, booklets and/or books.
  • Occasional sorting through/searching for documents in spaces that may result in some exposure to dust and other such particulates. 
  • The environment is fast paced with on-going interactions with critical stakeholders and meeting tight deadlines which will result in high degrees of pressure, on occasions.
