The incumbent coordinates merchant documentation and billing, manages POS inventory, responds to queries, liaises with vendors, prepares reports, and provides administrative support while ensuring procedural compliance.

 

Position Overview:

The Merchant Services Administrator is responsible for providing administrative support to the Merchant Services Team. The incumbent contributes to the effective and efficient operations of the Unit through the execution of tasks relative to: office management, service coordination and clerical support. 

 

Key Responsibilities:

  • Coordinate documentation for merchant cancellations and file closures. 
  • Maintain accurate electronic and hard copy filing systems. 
  • Process and monitor merchant billings (Visa, Mastercard, Discover) and related payments.
  • Contact merchants to collect unpaid fees. 
  • Support scheduling and coordination of technical team responses. 
  • Manage the Unit’s inbox and respond to merchant queries within established SLAs.
  • Maintain Point-of-Sale (POS) device inventory and records. 
  • Liaise with card associations and vendor representatives. 
  • Prepare correspondence, journal entries, and periodic reports (monthly/quarterly).
  • Provide administrative support to the Manager and team (meeting minutes, travel, mail, etc.).
  • Ensure compliance with internal record management and procurement procedures.
  • Perform other related duties as assigned. 

 

Minimum Qualifications & Experience:

  • An Associates degree in Business Management/Administration or equivalent, and three (3) to four (4) years banking experience, preferably with card acquiring/issuing experience. 
  • Strong organizational skills including management of time. 
  • Knowledge of banking laws and association rules and regulations GRMs. 
  • Strong oral and written communication skills. 
  • Excellent professional etiquette and interpersonal skills. 
  • Strong analytical skills and attention to detail. 
  • Works well under pressure. 
  • Proficient in MS-Office. 
  • Familiarity with bank reporting software. 
  • Willingness to be flexible and multi-task. 
  • Ability to work independently and as part of a team.
