To receive callers and visitors to the Institution, determine nature of business and direct callers and visitors to appropriate individuals or departments.

 

RESPONSIBILITIES & DUTIES

  • To answer the telephone professionally, courteously and pleasantly
  • To greet visitors courteously, professionally and pleasantly and direct individuals to the appropriate staff member or department on campus
  • To determine the nature of business for visitors, advise appropriate staff members, and monitor access to the varied departments on campus
  • Remain informed on all campus activities, programme offerings, deadlines etc. to reliably field inquiries from members of the public.
  • Assist with coordination of telephone services repairs
  • To take telephone messages accurately and deliver promptly to the relevant parties
  • To keep accurate records of long-distance telephone calls
  • To enforce the Institute’s policies regarding long distance telephone calls.
  • Receive and distribute documents, mail and messages.
  • Assist with distribution of documents and maintain document log for the same.
  • Other reasonable duties as assigned

 

Qualifications

  • High School Diploma and proficiency in English
  • At least one year’s experience in a similar position
  • Cheerful, poised manner and presentation: clear professional telephone voice and appearance
  • Customer Service Oriented
  • Basic knowledge of email, Word Processing and Excel applications
