The Practice Manager oversees non-clinical operations, financial management, compliance, patient satisfaction, and marketing to support the efficiency and growth of the rehabilitation practice.

 

Overview

The Practice Manager will assist the Rehab Director with the oversight of operational functions within the rehabilitation practice, ensuring efficient management in areas such as marketing, information technology, finance, and billing. This position is well-suited for an individual with a strategic mindset and strong attention to detail, capable of managing non-clinical operations, driving system enhancements, and supporting the overall advancement and sustainability of the department.

 

Essential Functions:

Operational Oversight:

  • Manage daily non-clinical operations to ensure smooth workflow and service delivery.
  • Oversee supply inventory, equipment maintenance, and vendor relationships.
  • Coordinate space utilization and support facility development initiatives.

Financial Management:

  • Audit billing processes, insurance claims, and patient account management to ensure accuracy and compliance.
  • Monitor budgets, financial performance, and expense tracking.
  • Prepare financial reports and assist with strategic financial planning.
  • Track revenue, expenses, and productivity metrics to inform strategic decisions.

Compliance & Quality Assurance

  • Collect and analyze data and produce reports
  • Ensuring organization of informational resources for easy staff access
  • Formulate strategies to enhance the department's operational efficiency.
  • Ability to build and maintain strong relationships with internal and external stakeholders (e.g. physicians)
  • Ensure adherence to healthcare regulations and internal policies.
  • Support accreditation, licensing, and audit readiness.
  • Implement quality improvement initiatives and monitor performance indicators.

Patient Experience:

  • Develop and implement systems to enhance patient satisfaction (e.g., feedback surveys, call-back protocols).
  • Resolve patient complaints and service issues with professionalism and empathy.
  • Coordinate community outreach and caregiver engagement.

Marketing & Outreach:

  • Develop and execute marketing strategies to promote the practice and its services.
  • Manage digital presence, including website updates, social media, and patient outreach.
  • Coordinate community engagement and promotional events.
  • Develop branding strategies and promotional materials for programs and events.
  • Monitor marketing performance metrics and adjust strategies for effectiveness.
  • Visiting and building rapport and constructive relationships with physicians and their various office staff members

Technology & Systems:

  • Support the management of EMR/EHR platforms and harvest data to optimize workflow.
  • Recommend and implement technological solutions to improve efficiency.

Qualifications and Experience:

  • Bachelor’s degree in healthcare administration, business management, or a related field.
  • Minimum 3 years of experience in administration
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite.
  • Experience in healthcare, especially rehabilitation services or allied health settings
  • Experience in marketing and digital outreach.
