Whole School Receptionist

Saltus Grammar School is seeking a warm, personable, and highly organized professional to server as the Whole School Receptionist. As the first point of contact for all visitors, callers, and stakeholders, the Whole School Receptionist plays a vital role in creating a welcoming and professional environment.

Reporting directly to the Deputy Head of School, this position is responsible for managing the main reception area and handling incoming communications with efficiency and care. The Receptionist will also provide a range of administrative and safety-related support to ensure the smooth day-to-day operation of the School.

 

Key Responsibilities include:

School Receptionist:

  • Greet and assist all visitors, parents, students, and staff in a courteous and professional manner.
  • Manage the main telephone line, directing calls and messages appropriately.
  • Maintain a clean, organized, and welcoming reception area.
  • Oversee visitor sign-in/out procedures and issue visitor passes in accordance with school protocols.
  • Liaise with internal departments and external stakeholders as required.
  • Receive and distribute incoming mail and deliveries; coordinate outgoing mail and courier services.
  • Provide daily event lists to security personnel.
  • Distribute bus passes and collect student-related forms as needed.
  • Assist with and support school events as required.

Safety & Security Support:

  • Maintain accurate attendance records and sign-in/sign-out sheets for students, staff, and visitors.
  • Monitor visitor access in line with school security procedures.
  • Administer basic first aid when required.
  • Support lockdowns, fire drills, and other safety procedures, including:
    • Maintaining an up-to-date account of visitors on campus during drills.
    • Ensuring current student lists by advisory are provided to teachers during evacuations.
    • Verifying availability of safety equipment.

Administrative Duties:

  • Assist  the  Secondary  Administrative  Team  and  other departments with general administrative tasks.
  • Maintain and update the school directory and internal phone extensions.
  • Support database entry and updates.
  • Provide administrative assistance for school events, including ticket sales and distribution of materials.
  • Monitor and replenish various supplies.
  • Coordinate minor deliveries within campus as required.
  • Maintain organized filing systems.
  • Attend meetings as requested and provide administrative follow-up.
  • Perform additional tasks as assigned by the Deputy Head of School to support school operations.

Minimum Qualifications, Experience and Skills:

  • Postsecondary education.
  • Minimum 5 years prior experience in a similar position or in an administrative role.
  • Proficient in Microsoft Office Suite.
  • Experience operating a multi-line telephone system.
  • Previous experience working in a school environment is preferred.
  • Familiarity with Blackbaud or similar database systems is an asset.
  • Valid CPR and SCARS Certification.
  • Exceptional customer service and interpersonal skills.
  • Friendly, approachable, and patient demeanour.
  • Excellent verbal and written communication skills.
  • Professional,  discreet,  and  able  to  handle  confidential information.
  • Strong organizational skills with the ability to manage multiple tasks and frequent interruptions.
  • Flexible and adaptable to changing priorities.
  • Self-motivated, with the ability to work independently.
  • Proven ability to remain clam and effective under pressure especially in emergency situations.
  • Demonstrates tact, diplomacy, and consistently positive attitude.
  • Willingness to occasionally work additional hours to support school events.
