The Administrative Assistant performs a range of administrative duties that will ensure the efficient and effective functioning of the Branch, while maintaining confidentiality in the highest regard.

 

CORE RESPONSIBILITIES

  • Represents the organization professionally to external parties.
  • Prepares letters, reports, minutes, agendas, presentations and general correspondence with high levels of accuracy.
  • Arranges and attends meetings, records and prepare minutes of meetings and circulate to relevant persons.
  • Plans and schedules divisional, branch, committee and other meetings.
  • Effects logistical arrangements for meetings to include technology, equipment and refreshments.
  • Receives and escorts all visitors in a timely manner to respective meeting venues.
  • Maintains an electronic calendar of the Branch critical activities.
  • Creates and maintains an up-to-date manual/electronic Records Management System for all letters and documents issued by the Branch.
  • Process all mails, queries and concerns routed to the Branch.
  • Makes, receives, monitors and screens telephone calls.

 

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

  • Diploma or Associate Degree in Administration/Public Sector Management/ Business Administration or equivalent from a recognized tertiary institution.
  • A minimum of two (2) years’ related experience.
  • Sound knowledge of Microsoft Office Suite
