Under the direct supervision of the Librarian 4 (PIDG/LB 4), the Library Assistant 2 (PIDG/LA 2) assists in the processing and organizing of all incoming materials necessary to satisfy user demand.

 

KEY OUTPUTS

  • Clients' informational needs satisfied. 
  • Periodicals sorted and indexed. 
  • Visible index maintained. 
  • Incoming materials accessioned. 
  • Books shelved. 
  • Newspaper clippings processed. 
  • Materials photocopied/scanned. 
  • User statistics recorded. 
  • Exhibitions mounted. 
  • Students supervised. 

 

KEY RESPONSIBILITIES

  • Conduct reference interviews to ensure clients information needs are accurately met.
  • Sorts and indexed periodicals received. 
  • Maintain a visible index. 
  • Accessions incoming material. 
  • Place books on shelves according to class number. 
  • Cuts, mounts and assigns subject headings to newspaper clippings. 
  • Photocopies & scans materials on behalf of clients. 
  • Records statistics on the Question and Answer Service Project, Access to Information and other user information for the generation of reports. 
  • Mounts exhibitions, in house, Agricultural shows and conferences. 
  • Assist with the supervision of students on work experience. 

Other Responsibilities 

  • Performs other related functions assigned from time to time. 

 

PERFORMANCE STANDARDS

  • Sorts and indexes periodicals in keeping with library standards. 
  • Visible index maintained in keeping with library standards. 
  • New material accessioned and processed according to library standards. 
  • Books shelved daily. 
  • Newspaper clippings organized for ease of retrieval. 
  • Visitors' informational needs are satisfied in keeping with the library policy and citizens charter.
  • Materials photocopied and scanned on behalf of clients and in keeping with copyright legislation.
  • User statistics recorded in the agreed format. 
  • Exhibitions mounted in keeping with the declared theme. 
  • Students supervised to ensure adherence to the Ministry’s and library’s policies. 

 

REQUIRED COMPETENCIES

MINIMUM QUALIFICATIONS & EXPERIENCE

  • Four (4) CXC, or GCE “O” Levels certificate subjects inclusive of Mathematics and English.
  • Library Technical Assistant Certificate. 
  • Two (2) years experience as a Library Assistant.
