The incumbent provides administrative support to the Capital Development Project, coordinating meetings, managing project documentation, supporting audits, and maintaining communication and filing systems for effective project execution.

 

CORE FUNCTIONS:

  • Provide general administrative support to the Capital Development Project and its sub-projects, including workflow coordination, document vetting and imaging, and general organisation of the project’s communication process, in collaboration with the Project Leads. This includes, when necessary, providing administrative/secretariat support for the Bank’s monthly managerial meeting.
  • Coordinate and schedule relevant project meetings ensuring availability of key stakeholders and documentation necessary to progress meeting outcomes. This includes formalising and submitting meeting agendas and minutes for Management and Executive reporting.
  • Develop and maintain an online filing repository to easily access files and documents, including contracts, quotations, invoices, and minutes of meetings. This may also include assisting with the procurement of related items in support of the overall project, as well as assisting with the management and upkeep of the project’s document management application.
  • Contribute to the internal and external audit assessment processes, by compiling and providing relevant documentation for audit and financial reporting on the progress of the Capital Development Project.

 

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Bachelor’s Degree in Management or Business Administration or equivalent from a recognised tertiary institution.
  • Proficient in the use of Microsoft Office Word, Excel and PowerPoint.
  • Good communication skills, including writing and analytical skills to support report writing.
  • Good planning, time management, and organisational skills required to conduct assigned activities and manage conflicting deadlines and a multitude of on-going projects.
  • Good human resources skills are required to interact with staff of other departments, clients, and service providers.
