Responsible for managing inventory and office supplies, including labeling, record-keeping, monitoring stock, verifying departmental lists, coordinating asset movement, supporting disposal, and ensuring efficient procurement and reporting systems.

 

Job Purpose

Under the supervision of the Office Manager, the Inventory Officer provides clerical and technical skills to maintain proper inventory levels and stock records in the Ministry with special emphasis on creating, updating and maintaining inventory records to facilitate replenishing and or cashing decisions. The incumbent is also responsible for establishing and maintaining systems that protect existing inventory. 

 

Key Responsibilities

Management/Administrative: 

  • Conducts inventory of furniture and equipment; 
  • Labels all inventoried furniture and equipment; 
  • Prepares and submit inventory record; 
  • Maintains inventory/location records; 
  • Verifies list of furniture and equipment submitted by Units/Departments/Agencies of the Ministry; 
  • Monitors the distributions of office supplies; 
  • Manages the stock level of office supplies in storage; 
  • Makes regular stock and inventory checks to ensure that the stocks are in order and there is no pilferage or damage; 
  • Spearheads the movement of assets from one location to the other in keeping with approved standards; 
  • Develops proper reporting systems to ensure proper inventory management
  • Maintains list of the current cost of all supplies used in the Ministry; 
  • Assists in arranging Board of Surveys for Ministry’s furniture and equipment;
  • Assists in the disposal of furniture and equipment written off by the Board of Survey;
  • Assists in procuring and controlling stationery and other supplies for the Ministry;
  • Performs other duties, as assigned.

Minimum Required Qualification and Experience

  • At least four (4) subjects at the CXC or GCE Ordinary Level including English Language and a numeric subject; 
  • Certificate in Office Management and/or Supplies Management; 
  • Three (3) years related experience in office services, working in an organisation of similar size and complexity.

 

Special Conditions Associated with the Job

  • Required to work outside of normal working hours;
